Dear Farmers and Food Producers:
A huge thank you to those that responded so enthusiastically last month, to our inquiry about finding a way to continue with our Fill Your Pantry event this year. We’ve been very busy working out details, and I’m writing to let you know registration is now open on our website, and we hope you will join us as VENDORS!
We did change the date, and hope that won’t make it harder for you to participate, rather easier. It will take place
Sunday, November 8th, 12-4
No conflict with Saturday Market, and more daylight.
This year we will be using Local Food Market Place software to allow for pre-ordering by customers and drive up service to pick up their pre packaged purchased items. There will be no open market place due to the COVID Pandemic. The cost of participating in the Fill Your Pantry Event will be 10% of gross sales, a minimum of $50. (8% for Grange Members.) This will support the expenses of the software solution and set up fees. We ask that all vendors pay a registration fee of $50 to hold your commitment to participate in the event. The registration fee will be credited toward the final settlement of your sales. All sales revenue will be calculated at the close of the event with reimbursement being mailed to all vendors within 5 business days..
The vendor deposit will hold your spot for the event and is non-refundable if the vendor does not participate in the event.
Registration will be first come, first serve. And the template, which will be emailed to you when registration is complete, of all products you will be making available for sales, needs to be submitted by October 1. Some adjustments in quantities available can be made until the 10/15 deadline. Details below and in registration information.

ADDITIONALLY to build the pre-order site for online shopping, we will need to gather detailed information about your products by 10/1. We will email you the product template to complete along with a system for uploading product photos. We will also provide tips and resources for packing customer orders.
The Template must be submitted to the Grange at this email address bethhart@gorge.net no later than noon on Thursday, October 1. The Grange FYP committee will offer Technical support as needed. Setup on the web site using your forms will be completed by Grange Staff.
We will need to know quantities for each item to list by 10/15. After this date if you see you'll have more available, we can increase the quantities, but not decrease. We strongly suggest the quantity you submit by 10/15 be what you are sure you'll have, as it can always be increased.
Sales to the public on the web site will begin on Monday, October 19, and end on November 1, when we will send you order and packing list information
As in past years, the Fill Your Pantry Market remains focused on connecting our community of eaters with farmer-grown storage crops. It is a “bulk buying” event where people stocking up can expect some discounts for bulk (volume) purchases. Please be prepared to help customers understand the storage life of your products and best storage practices so that they can have a good experience with their purchases.
Below are a few guidelines for all vendors on the all outdoor market day:
· You will be assigned a spot in the parking lot where buyers will pick up their goods. Please observe social distancing and mask protection requirements mandated by the state.
· You will need to provide your own tables, Tent or Canopy and signs clearly stating your business name.
· Please offer customers tips and information for success in storing the products they buy from you
· Please help us promote this event via social media and/or sharing with your customer lists, etc
· It is the vendor’s responsibility to follow the laws that govern the sale of your type of products (ie. Labelling, processing)
· Vendor set up opens at 10AM on Sunday November 8th
Customers will be scheduled to arrive in waves beginning at noon.
· On market day, you will be provided a space for your vehicle, canopy and sign where you will be able to organize your already packaged sales for customer. We will be setting up a drive-by for customers to stop at the location of each vendor purchased from. There will not be time to sort or pack orders. It will all need to be done in advance.
